1. Introduction

This Privacy Policy explains how Abwab (“Abwab”, “we”, “us”, or “our”) collects, uses, shares, and protects information when you use the Abwab mobile application and related services (the “App” or the “Service”).

By installing, accessing, or using the App, you acknowledge that you have read and understood this Privacy Policy. If you do not agree with it, please do not use the App.

Depending on your location and how you access the App, local building managers (“Building Admins”) may also act as independent or joint controllers of your personal information for their own building-management purposes.

3. Scope and Jurisdiction

This Privacy Policy applies to all users of the Abwab App, including building managers, unit owners, and unit residents.

Jurisdiction and applicable law

For the purposes of privacy and data protection, the primary applicable laws and regulations will generally be those of the country or region linked to the Apple App Store or Google Play Store account you used to download the App. In addition, any mandatory data protection or consumer laws in your place of residence will also apply, where relevant.

Where there is a conflict between this Privacy Policy and mandatory local law, the local law will prevail.

4. Information We Collect

The exact information we collect depends on how you use the App and which features you use. Typical categories include:

4.1 Information you provide directly

  • Account details (such as name, email address, phone number if you choose to provide it, password or login credential hashes).
  • Building details you submit (building name, address, units, roles, committee information).
  • Unit and resident information (names, roles such as owner/resident/tenant, contact details if provided).
  • Financial and administrative information you enter (e.g., fee amounts, payment references, notes, documents, and attachments).
  • Support requests and feedback (content of communications with our support team).

4.2 Information we collect automatically

When you use the App, we may automatically collect:

  • Device and technical information (device model, operating system, app version, language settings).
  • Log and usage data (time and duration of use, screens viewed, basic interaction events, crash logs, performance metrics).
  • Approximate location information (for example, country or city inferred from IP address), where necessary for security, compliance, or localization.

We do not collect precise GPS location unless explicitly required for a feature and you grant permission on your device.

4.3 Building and financial data

For building-management purposes, Building Admins may enter:

  • Building-level expenses, income items, and budgets.
  • Unit-level charges, balances, and payment status.
  • Supporting documents (such as invoices, receipts, meeting minutes, contracts).

This “Building Data” can sometimes be linked to identifiable individuals (e.g., a unit number tied to a specific owner). In those cases, it may be treated as personal data.

4.4 Payment-related information

If we integrate with payment providers in the future, you may be asked to provide payment details (such as card information or account details) directly to a third-party payment gateway. We will not store full payment card numbers in our own systems; we may receive limited information such as the last digits of the card, transaction IDs, and payment status.

4.5 Cookies and similar technologies

If the App makes use of cookies, SDKs, or similar technologies (for example, for analytics or error monitoring), their main uses will be for improving performance, securing access, and understanding usage patterns. Where required by applicable law, we will provide options to manage your preferences.

5. How We Use Your Information

We use the information described above for the following purposes:

  • To provide and operate the App, including creating and managing user accounts and building profiles.
  • To enable Building Admins to manage buildings, units, residents, owners, financial records, and documents.
  • To show you information related to your unit(s), such as balances, payment history, and shared documents.
  • To customize your experience (for example, language, currency, and local settings).
  • To maintain security, prevent misuse or fraud, and detect suspicious activity.
  • To analyze usage and performance to improve stability, features, and usability.
  • To communicate with you about updates, changes to terms or policies, security notices, and responses to your support requests.
  • To comply with legal obligations and enforce our Terms of Use.

6. Legal Bases for Processing (Where Applicable)

Where data protection laws require a legal basis (for example, in the EU/EEA and similar jurisdictions), we rely on one or more of the following:

  • Contract: Processing necessary to provide the App and fulfill our agreement with you (e.g., account management, core functionality).
  • Legitimate interests: For example, to secure our systems, improve the App, prevent fraud, and support building operations, provided these interests are not overridden by your rights.
  • Consent: For certain optional features (such as notifications, specific analytics, or marketing), where required. You can withdraw consent at any time through the App settings or your device settings.
  • Legal obligation: Where we need to retain or disclose data to comply with applicable laws, regulations, or legal processes.

7. How We Share Information

We may share information in the following situations:

7.1 Within your building

  • With Building Admins and authorized committee members for building management purposes.
  • With other users in your building as determined by the building’s configuration and access permissions (for example, showing residents common expenses or shared documents).

7.2 Service providers

We may share information with trusted third-party service providers who help us operate, host, maintain, analyze, or secure the App (for example, cloud infrastructure, analytics, error tracking, push notifications), under contracts that require them to protect your data and use it only for our instructions.

7.3 Legal and safety

We may disclose information if we believe it is reasonably necessary to:

  • Comply with applicable laws, regulations, legal processes, or government requests.
  • Protect the rights, property, or safety of Abwab, our users, or others.
  • Enforce our Terms of Use or prevent fraud and security incidents.

7.4 Business transfers

If we are involved in a merger, acquisition, reorganization, or sale of assets, your information may be transferred as part of that transaction, subject to appropriate confidentiality and security obligations.

We do not sell your personal information in the traditional sense of selling user data directly for money.

8. International Data Transfers

Because our infrastructure and service providers may be located in different countries, your information may be transferred to and processed in countries other than where you reside. We will take appropriate steps to ensure that any such transfers comply with applicable data protection laws, for example by using contractual safeguards where required.

9. Data Retention

We keep your information only for as long as is reasonably necessary for the purposes described in this Privacy Policy, including:

  • For the duration of your account and your active relationship with the building.
  • For as long as the Building Admin maintains historical building records in the App.
  • For additional periods required or permitted by law (for example, accounting and record-keeping obligations).

When data is no longer needed, we will delete or anonymize it, subject to technical and legal limitations.

10. Security

We use technical and organizational measures designed to protect your information against unauthorized access, loss, misuse, or alteration (for example, encryption in transit, access controls, and monitoring). However, no system can be guaranteed to be 100% secure, and you should also take steps to protect your account (such as using strong passwords and enabling device-level security).

11. Your Rights and Choices

Depending on your location and applicable law, you may have some or all of the following rights with respect to your personal information:

  • Access: Request a copy of the personal data we hold about you.
  • Correction: Request correction of inaccurate or incomplete data.
  • Deletion: Request deletion of your personal data, subject to legal or contractual obligations.
  • Restriction: Request that we limit how we use your data in certain circumstances.
  • Objection: Object to certain processing activities, such as processing based on legitimate interests or direct marketing.
  • Portability: Request a copy of your data in a structured, commonly used format where technically feasible.
  • Withdraw consent: Where processing is based on your consent, you may withdraw it at any time.

In many cases, you can exercise these rights through App settings (for example, updating profile details, managing notifications), or by contacting your Building Admin for building-specific data they control. If you believe your privacy rights have been violated, you may have the right to lodge a complaint with your local data protection authority.

12. Children’s Privacy

The App is not intended for use by children under the minimum age required to create an account under applicable local law without parental consent. We do not knowingly collect personal information from children below this age without appropriate consent. If you believe we have collected such information, please contact us so we can take appropriate action.

13. Third-Party Services and Links

The App may link to or integrate with third-party services (such as payment providers, cloud storage, or communication tools). Those services are governed by their own privacy policies, not this one. We are not responsible for the privacy practices of third parties, and we encourage you to review their policies carefully.

14. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the “Last updated” date and may provide additional notice (such as an in-app message or email) as required by applicable law. Your continued use of the App after the effective date of the revised Privacy Policy means you accept the changes.
